What are the daily activities of a Salesforce Admin?

Question:
I recently earned my certification for admin and I’m truly thrilled about the opportunities ahead. My journey with Salesforce began about 3 years ago when I embarked on my current job, and the platform immediately caught my interest. Currently, I’m navigating the job market and I would greatly value insights on what an ordinary day looks like for a Salesforce Admin—or even a Business Analyst, as I’ve noticed this role is often equated with an admin. I’m keen on posing this question to potential interviewers, but first, I’d love to gather some firsthand accounts. While I’m aware that each organization is unique, getting a broad understanding would be beneficial.
- What are the daily duties of a Salesforce administrator?
- What is the typical/average day of a Salesforce Admin? is it so stressful? or manageable?
- Which task do you find yourself repeating the most?
- How do the skills you developed through Trailhead compare to your actual day-to-day responsibilities?
I’d be grateful for any insights you can share!

Johnson’s Answer (Senior Salesforce Consultant, working on Asana and Slack Specialist)
I’m a Salesforce Administrator in a consulting role, and I manage around 10 super active clients. Nine of them are a delight to work with, but there’s this one client who doesn’t quite grasp the concept of “asking questions.” Instead, they jump straight to expressing their annoyance and frustration over an issue that’s beyond the project’s scope and was actually crafted by someone else. I’ve decided to let them go next week.
Every morning, I start my day by checking my calendar. What time’s my first meeting? 9:45? Awesome! That means I can take it slow this morning. When it’s time to kick off, here’s what my routine looks like:
First, I sift through my emails. Are there any urgent matters? If it’s a significant task, I’ll add it to Asana. If it’s a minor issue or just a query, I’ll address it right away—no need to bill clients for such things.
Next, I’ll dive into Asana to review the status of various projects. Did I assign any tasks to my offshore team last night? I’ll go over their work, making tweaks if necessary.
Then, I prioritize my tasks for the day. This involves considering delivery deadlines, estimated work durations, and today’s meeting agenda. Sometimes, I’ll even plan this part the evening before as I wrap up.
And then, I get down to business.
Throughout the day, I carve out moments for responding to fresh emails, addressing queries from team members on Slack, and the like. But the majority of my day is dedicated to client work. This includes delegating and following up on tasks with both internal and offshore team members, attending client meetings, making sales calls (coordinating with Salesforce account managers for new and existing clients), presenting project demos, and more. I genuinely enjoy my work!
On the rare occasions when I catch a break, I explore untapped features in Salesforce that I might introduce to my clients’ orgs—like OmniStudio. I dive deep to learn as much as possible about these new tools. Alternatively, I spend time enhancing my skills in areas I’m already familiar with, like APEX coding.
So, yeah, that sums up my day. Since I work remotely, around this time, I log the hours spent on each client, maybe outline the next day’s tasks, take a brief 10-15 minute break to unwind, and then step out of my home office to the loving embrace of my wife and three kids.

I juggle my time between admin stuff and development work, and no two days are exactly the same.
First thing in the morning, I hop onto SF and Asana, our go-to tools for keeping all our projects in check. I sort out the new requests, making sure they land in the right spot, and keep an eye out for any urgent issues that need some quick fixing. Then, I get down to the nitty-gritty of our current sprint’s to-dos, like crafting new features, squashing bugs, and jotting down notes for training.
We run on the agile/scrum vibe, so it’s all about staying on our toes and keeping things moving. Every couple of weeks, we gather around for department reviews to pick what we’re tackling next and have those deep-dive discovery sessions to figure out what we need for new features.
On the admin side of things, it’s a mixed bag – from adding new users to helping folks whip up reports and dashboards. Lately, I’ve been knee-deep in switching our automation from workflows and process builders over to flows. And yeah, I spend a fair bit of time in Analytics too.
So, yeah, it’s a bit of this and a bit of that, making sure everything in our Salesforce world is ticking along just right.

So, I kinda got thrown into this whole Salesforce gig at the place I was working. Suddenly, it was on me to weave it into our organization’s fabric.
Right off the bat, it was a learn-on-the-fly situation. My third day in, and I’m sitting in these project huddles with the services, sales teams, and the consulting crew who were running the Salesforce setup. We sketched out our processes old-school, on paper, before bringing them to life in Salesforce. And let me tell you, there was a lot of tweaking as we all figured out what we really wanted Salesforce to do for us.
I wasn’t totally solo—I had a coding buddy who pitched in with the data migration stuff. But the heavy lifting? That was all me. Configuring things, whipping up reports, redoing those reports when they didn’t hit the mark, and all the usual admin jazz like plugging in apps from AppExchange and keeping our user accounts in line.
And, oh boy, training everyone to get chummy with this shiny new system? That was a trip.
That first year was a whirlwind of setting things up and smoothing out the kinks. The next couple of years? We shifted gears into development mode, cranking out new features to squeeze every bit of juice out of the system and amp up our game.
